What is newsletter software?
Newsletter software refers to software applications that support at least these basic activities:
- Collect subscriber emails and other demographic/personal data
- Organize them into mailing lists
- Design your newsletters
- Send newsletters to mailing lists
Email marketing software or mailing list management software are also terms used to describe similar applications.

A "views report"is a report that shows if, who and how many subscribers opened the newsletter you sent. A key term associated with a views report is the "open rate ratio" or OPR. By "open rate ratio" we define the number of subscribers who opened the newsletter divided by the total number of subscribers the newsletter was sent to. Such a report is only available for html newsletters (not for text newsletters).

A "clicks tracking report" is a report that shows which links the subscribers clicked in the newsletter you sent, in summary and in detail (per subscriber). Similarly to the open rate ration we define the "click-through ratio"or CTR. The CTR is the number of clicks divided by the total number of subscribers the newsletter was sent to. It can be calculated as a total for all clicks or for a specific click. Normally a good newsletter software system gives you the ability to generate various reports of different level and depth.

Targeted mailings based on subscriber demographic data or other interests

A targeted mailing is one that is sent to subscribers who have some common criteria. Examples: you target subscribers from the same country or subscribers who have the same zip code, or customers who bought a specific product. A follow-up mailing (explained below) is also a form of targeted mailing. Targeted mailings are done with the use of filters. In this way you focus in a segment of your whole mailing list.

In email marketing the ability to create follow-up mailings is critical to success. It is estimated that it may take up to seven follow-up mailings in order to finally have your subscriber respond to your offer, promotion, call to action etc. The most basic but essential example of a follow-up mailing is:

A new mailing based on subscriber's"views & clicks behavior": send a mailing to subscribers who opened (or not) the newsletter, clicked (or not) a specific link, did not click any links at all and so on.

Bounced email processing

A bounced message is a message (email)that is sent back to the sender because it cannot find the subscriber's email and therefore cannot find it's way into the subscriber's inbox. That can happen because the email account no longer exists or is inactive or for many other reasons. Bounced emails are broadly classified as "soft" and "hard". A soft bounce is one that although it was not delivered to the subscriber's inbox it does not mean that the email is invalid or non-existent and it may be delivered in a another mailing. A hard bounce indicates a permanent delivery failure: invalid email, non-existent email account or domain name.

It is critical to process bounced emails and update your subscribers profiles. In other words you must maintain a clean mailing list. Because: it will save you resources, it will not trigger spam filters in major ISPs, it will help keep your IP white-listed.
